What the Vault Is

The Qarar document vault is a secure, structured store for every document you upload. It is not a generic file storage system. Every document is classified by type, tracked for expiry, and linked to the services that need it.

How Documents Are Classified

When you upload a document, the AI agent assigns it a type from the Qarar document taxonomy:

  • Identity: Passport, Emirates ID, national ID, birth certificate
  • Residency: Visa page, entry stamp, GDRFA print, ICP record
  • Address proof: Tenancy contract, DEWA/ADDC bill, bank statement with address
  • Corporate: Trade license, certificate of incorporation, MoA, UBO declaration
  • Financial: Bank statements, salary certificate, source of funds letter, audited accounts
  • Property: Title deed, SPA, NOC, DLD transfer receipt
  • Attestation: Apostille, MOFA stamp, embassy seal
  • Translation: MOJ-certified Arabic translation
  • Other: Catch-all for unclassified or supporting documents

If the AI cannot classify a document with confidence, it is flagged for human review.

Expiry Tracking

Documents with expiry dates — passports, Emirates IDs, trade licenses, visas — are tracked against their expiry. Qarar sends reminders when a key document is approaching expiry and will flag it in any active case that depends on it.

Cross-Service Reuse

Documents uploaded for one service are available for all subsequent services within the same account. Examples:

  • Passport uploaded for a visa application is automatically available for a banking case.
  • Trade license uploaded for company formation is available for banking and renewals cases.
  • Title deed uploaded for property purchase is available for a Golden Visa application.

You are notified when a document from your vault is being used in a new case and can confirm or restrict its use.

Document Versions

When you upload a newer version of a document (e.g., renewed passport), the vault retains the previous version for historical case records and makes the new version available for active and future cases.

Security

All documents in the vault are encrypted at rest and in transit. Access is restricted to your account, operators assigned to your cases, and AI agents processing your intake. Qarar does not share your documents with third parties without your explicit consent, except as required to fulfil a service (e.g., submitting a visa application to GDRFA).
